How we will use the information about you

We will store your information securely and only use it to process and consider your feedback. We may share details of the matter with management or include this in reports to help with improvements and to monitor our level of service. When we share this, the information will be anonymised and will not include your personal details.

The information you provide may be shared with the service area your complaint relates to. If further processing is needed you will be advised of this by the relevant service. Where we need to liaise with a third party who provides services on the Council’s behalf, we will only share details of the issue and not your personal information. We will contact you to obtain your permission if it becomes necessary to pass on any personal information.

We will keep your personal information contained in complaint files for up to six years from the date your enquiry was closed or up to ten years in relation to ombudsman complaints. This information is stored securely with restricted authorised access.

Your personal information belongs to you and you have the right to:

  • be informed of how we will process it

  • request a copy of what we hold about you through the Rights of Access, Rectification and Erasure (RARE) process

  • have it amended if it is incorrect or incomplete

  • have it deleted (where we do not have a legal requirement to retain it)

  • withdraw your consent if you no longer wish us to process it

  • restrict how we process it

  • object to us using it for marketing or research purposes

  • object to us using it in relation to a legal task or in the exercise of an official authority

  • request that a person reviews an automated decision where it has had an adverse effect on you
