Enquiry and copy services

Cornwall Record Office and the Cornish Studies Library are now permanently closed as staff move to Kresen Kernow, which is due to open for research visits on 11 September 2019. Our enquiries, copies and research services are also suspended while documents are packaged and moved.

The information on this page relates to ordering copies of items from our collections. Some of these are subject to copyright restrictions.

We are able to supply copies of many documents held in our care, as long as there is no risk of damage to the original.  The copying service is entirely self-funding. Therefore prices have to reflect the costs of:

  • the production and putting away of documents
  • consumables
  • staff time and
  • use/maintenance of specialist equipment

We also offer a fee-paying research service. You can view a full list of our charges here.

To obtain copies it is necessary to complete the relevant order form and pay the appropriate charge.  Each form includes a copyright and data protection agreement, guidance notes and details of charges.

Please complete and sign the form giving full details of each item required. These details may include: date, name, parish and document reference number, which can be obtained from the CRO online catalogue.

Please note. When the 'Extent' category within the CRO online catalogue states a document is '1 piece' this does not necessarily equate to one A4 or A3 page. It could be more.

If you are unsure of the full details required, such as dates or parish, then please use our research service.

All completed forms should be sent back to Cornwall Record Office.

In most cases this service is only available for single loose items, for example, photographs, wills or letters. Customers can choose between photocopies or digital copies (scans). Please be aware, however, that there is a price difference. We provide digital copies for personal and private research. Costs depend on the job and there are separate charges for bulk and commercial orders. Items can be ordered using the Photocopy Order Form or Digital Copy Order Form, as desired.

Please be aware that for copies of parish register entries the Photocopy Order Form must be used. These include:

  • baptism records
  • marriage records (pre-1837) and
  • burial records

The types of records listed under Digital Photography Service (below) cannot be photocopied or scanned due to their format.

Documents that require the digital photography service are:

  • Trade directories
  • Gaol registers
  • Electoral registers
  • Court Rolls
  • Documents with hanging seals
  • Deeds consisting of more than one sheet
  • Manuscript volumes
  • Large books and books 100 years old or more
  • Quarter Sessions records
  • Any document which is considered too delicate or which may suffer from being photocopied or scanned.

Please use the Digital Copy Order Form to order photographs of any of these.

Please note:  We are not able to copy whole maps or plans over A3 size.  We can capture small sections of a map or plan if you indicate the precise extract you require.

We make a charge to cover the cost of compiling a quotation for copies of non-standard documents.

Publication or further reproduction of copies provided by Cornwall Record Office is not permitted without the consent of the Archive Services Manager. Where appropriate the depositor or copyright owner must also provide consent.  An additional fee will be payable for the right to publish images or text for commercial use.  If you wish to publish, exhibit or make multiple copies of archive material held by us please contact:

Archive Services Manager, Cornwall Record Office, or email kresenkernow@cornwall.gov.uk.

If you wish to publish an image a reproduction fee is payable on top of the copying fees, for instance, if you wish to publish an image in a book, magazine or on a website. Alternatively you may wish to use an image in a commercial way. For example, solicitors or for any other profitable purposes.
